THE SEED TRAVEL CONSULT TOUR TERMS AND CONDITIONS.

Thank you for choosing to embark on this unforgettable experiences with seed travels. Kindly read through this document carefully as it governs and guides us on this trip.

 

In booking or participating on a tour and other related products and/or services (“Trip or Tour”) with The Seed Travel Consult (“Seed travels”), you and any other participant in your group (“you”) agree to our Terms & Conditions (“Terms”) below. In booking a Tour, you acknowledge that you have read, understood, and agreed to our Terms. When booking on behalf of other people, you guarantee that you have been authorized to accept our Terms on behalf of those people. The below terms and conditions supersede any prior communication or understanding you have had from any of Seed travels’ staff or Sales Representative or directly from any of our advertising or communication platforms.

1.      SAFETY CONCERNS

As a travel agency, we feel highly responsible for the safety of our guests and your safety is a top priority in all we do. In view of this, we encourage our prospective clients to travel only when it is safe to do so. The destinations we promote are countries who have demonstrated high level of concern for the health and safety of citizens and international tourists. We have selected hotels who have put in place Covid-19 Safety Measures for guests and same applies to the attraction centers. You can be rest assured that we will always prioritize your health and safety in all we do at seed Travels. However, the ultimate responsibility for your safety and health during the trip rest on you and you must travel only when you are 100% fit to do so and must at all times adhere to the safety measures put in place by Health Authorities at any destination you may find yourself. We provide free covid-19 safety kits for all our travels, including Face Mask, Disposable face masks and hand sanitizers. All our foreign trips are also insured against covid-19 and other unexpected circumstances.

2.      PACKAGE CONTENT

We have taken our time to state the content of each package under the costing. It is your responsibility to take your time and go through this before you make your final decision. We will endeavor to deliver as per the advertised content. If any component needs to be changed after booking as a result of situations beyond our control, we will inform you in advance and come to an agreeable term. Your payment entitles you to only the content as advertised in our official channels per the particular tour booked.

3.      HOTEL ACCOMODATION

 

Hotel Accommodation is based on twin/double sharing in the star category chosen. We will endeavor to ensure all sharing rooms have two separate beds for people of same sex sharing and double bed for couples. For those travelling alone and may not want to share, you can make extra payment identified on the rate sheets as single supplement. This is the extra amount of money required to book your package under single room use. Most hotels have their check in from 2:00-3:00pm and the check out from 11:00am-12:00pm. Early check in or late check out is entirely based on availability of the hotel and cannot be guaranteed by Seed travels For flights arriving very early, you can book extra night earlier than your arrival date to guarantee early check in. For flights departing very late, you may book extra night beyond the advertised room nights to guarantee late check out. We have included all mandatory hotel taxes in our rate except in Dubai where Tourism Dirham Fees of $3-5/night/room is excluded. This fee is supposed to be paid by guest directly upon check in or check out depending on the hotel’s policy. We carefully select our hotels to make sure your safety and comfort is assured. Our 3-

star hotels give you standard services, 4-star hotels offer superior services whiles the 5-star hotels give luxury services. We implore you to book as per your budget considerations and your expectations for the trip. All hotel rooms are priced based on the starting room category of the particular hotel chosen. Should you require room upgrade, you can indicate that prior to your scheduled trip so we check and update you on the extra cost involved. The hotel names given in our tour brochures are to help you know the standard of service per each star category. We cannot guarantee securing the same mentioned hotels as that will depend on availability, but we will ensure that we provide hotels with similar comforts as those advertised per each star category. We have no control on hotel’s check in process and room or floor assignment as that is entirely based on availability at the time of check in.

4.      VISAS

 

There is no visa required for Ghanaians travelling to certain destinations like Kenya, South Africa, Zanzibar, Singapore, Maldives, Mauritius, etc. and so no visa fee is included such packages. For Dubai, e-visa is required and Seed travels will acquire the visa for the client once the required document is submitted to Seed travels. The visa duration used for this trip is usually 1-month Tourist Visa and the cost is already included in the package. Visa fees paid is non-refundable.

For destination like UK, USA, Canada, Malaysia, etc a stamped visa is required and we have included the cost of processing in the package. For destinations in Europe, visa fees are not included in the tour package and clients may have to pay at the embassy or application center. In all cases, client will need to provide personal documents such as Bank Statement, Proof of employment and other documents as per individual circumstance may require. After payment of the package, our visa consultant will engage you to assist you with the process. We do not use any 3rd party to influence the decision of the visa outcome and so we scrutinize documents well to ensure high success rate. It is noteworthy to mention that we do not guarantee visas for any of our tours as the visas are issued at the discretion of the Consular officer for the particular country. Clients take full responsibility for the information and documents submitted on their behalf during the visa application process and Seed Travels cannot be blamed for any acts of errors or omissions resulting from the visa application. In most instances, documents submission is done directly by applicant as biometric fingerprints would be required. We expect all clients to produce only genuine documents for the visa application and we have no way to verify the genuineness or otherwise of it. If your visa is refused as a result of fake documents, your entire deposit with us will be used to compensate the reproach on our business reputation. Visas acquired through our services should be utilized for the purpose of the tour and shall not be valid for employment or other immigration purpose. Should you overstay or abuse your visa, Seed Travels have the right to cooperate with the concerned Embassy and provide them with the needed information to track you. Should there be visa refusal for any reason other than fake documents, we will refund your payment with Seed Travels less the visa fees plus administrative charges. 5.      COSTING AND PAYMENT

The tour costing is originally priced in US Dollars because the service inclusions to be paid for are charged in USD or other foreign currencies other than Ghana Cedis. However, we accept payment of the trip in Ghana cedis at the prevailing exchange rate to be determined by Seed Travels. The required payment needed to secure tour booking made is a minimum of

$500/person or its equivalent. Once that’s paid, the package is confirmed and we will arrange with you on how you intend to pay the balance. Full payment of the package must reach us at least 2-4 weeks to the scheduled trip. All unpaid bookings are considered as cancelled after no

payment is received within 24 hours of the booking. You can make your payment with Visa or Master card only or pay offline using any of the below details:

After payment, receipts should be sent to theseedtravelz@gmail.com or WhatsApp to the Seed  staff that assisted you with the booking. Only payments done to our official bank accounts or through official channels will be recognized as payments towards your trip. It must be noted that only fully paid customers will be allowed on the trip and this is non – negotiable

6.      FLIGHT

Most of our group packages come with flight cost already included. For such packages, flight cost is non-refundable after the tickets have been booked and issued. This means, when you do not show up for the trip for whatever reason, we may not be able to request refund from the airline. For personal trips, please check the ticket condition with us whiles booking.

However, few packages like UK, USA and Canada do not include flight cost. This is to allow clients the flexibility to return from the trip at a more convenient time after the tour. In this regard, after visa is granted, flight must be booked from the reservation desk of Seed Travels after you have determined your return date for the trip. Should you do your own flight arrangement, we will not be responsible for any issues concerning your flight and private arrival airport transfer to hotel will be extra charge.

7.      TOUR DATES

Most of our advertised group packages have specific tour dates and clients must stick to such dates as the dates are usually used to negotiate flight and hotels in advance. For private trips, you can give us your tour dates and we arrange the services accordingly.

Should it become necessary for us to change travel dates as a result of circumstances beyond our control, we will inform all registered guests about this and will try to accommodate their wishes as well.

8.      REFUND POLICY

As most of the group packages are already pre negotiated with the airline and hotel partners, it is very difficult to process refunds and so they are non-refundable after all services are

confirmed and clients are not able to travel. However, if cancellations occur prior to confirmation of flight and hotel services, then we will refund all money paid us less administrative fees of $100 or its equivalent. If the refund is used for another tour with Seed travels and there is no cost incurred prior to the cancellations, then we will waive admin charges and push all the payments to the desired tour. In situations where cancellations are based on visa refusals, the following charges (visa fee and admin charges) will be deducted and the balance paid:

UK: $300

Dubai: $200

USA and Canada: $350 Europe: $200

South Africa and Malaysia: $200

For visa refusals resulting from fake documents like Bank Statement provided by clients, there will be no refunds at all given and we reserve the right to legally pursue damages to compensate the reproach on our hard-earned reputation in the industry.

In case visas are granted and clients refuse to travel, there will be no refunds given.

9.      CHILDREN & INFANTS

 

A person is considered to be a child if he/she is between the ages of 2years and 11 years. An infant is a child less than 2yrs. Children 12yrs and above are considered adults by most hotels and attraction centers. Family discount can be calculated on case by case basis. Refer to tour rate sheets for discounts applicable to infants, children and families.

10.  FOOD ARRANGEMENT

The tour packages mostly include daily Breakfast only unless other meals are specified in the tour itinerary. Lunch and Dinner are to be catered for by tour participants themselves. Seed Travels will recommend hygienic places to eat during the tour. The expected amount to budget for meals usually depends on how frequent one eats and the kind of restaurants preferred by the client. Generally, $200/person will be enough for an average person to cover lunch and dinners for 1-week tour duration.

11.  TRAVEL INSURANCE

To ensure you travel with peace of mind we have included a basic travel insurance in your package which covers covid-19 related expenses. However, it is your personal responsibility to ensure you have adequate travel insurance that will cover your entire personal needs for the trip. You must ensure to provide accurate medical information during processing of the travel insurance. We cannot be held liable for denial of insurance coverage in the course of your trip if that is linked with preexisting medical situation not declared prior to the processing of your insurance by Seed Travels.

12.  IMAGES AND MARKETING

You agree that, while participating in any Trip, images, photos or videos may be taken by other participants, Seed Travels or its representatives that may contain or feature you. You consent to any such pictures being taken and grants a perpetual, royalty-free, worldwide, irrevocable license to the travel agent, its contractors, sub-contractors and assigns, to reproduce for any purpose whatsoever (including marketing, promotions and the creation of promotional materials by or with sub-licensees), in any medium whatsoever, whether currently known or hereinafter devised, without any further obligation or compensation payable to you.

13.                  HEALTH AND PASSPORT REQUIREMENT

 

The required validity for passport is 6 months or more from the travel date for most countries. Kindly ensure you check this prior to your travel date. If your current passport containing your visa expires prior to travel, you can renew and just attach the new one to the old one for travel and its accepted everywhere. It is mandatory for all clients to acquire valid international yellow fever vaccination certificate. If you do not have one, kindly get one at a nearby polyclinic or the health clinic at departure terminal of Kotoka Airport. Also, some countries may require other health test such as Covid-19 PCR test issued within 48-96 hours of travel. We highly recommend checking all travel requirements with Seed Travels to ensure you meet them before you embark on your trip. It is your responsibility as customer to ensure you have obtained the required documentations needed to successfully embark on the trip and Seed Travels is only providing assistance and assumes no such responsibility.

14.  REMOVAL OF CUSTOMER FROM TRIP

 

Customers are responsible for informing Seed Travels at the time of booking of any known illnesses, disabilities or medical condition, or, if not known at the time of booking, at the earliest opportunity thereafter prior to the departure of the Trip. Any Customer found to have undeclared or understated medical condition may be ordered to leave the Trip with no refund of the fare and with no liability to Seed Travels or the Tour Operator at the destination, sale agent nor any associate organization, agent or employee. Seed Travels reserves the right to remove a Customer from a Trip, if in the opinion of Seed Travels or a Trip leader or equivalent, the health or conduct of the Customer (immediately before or at any time after departure) appears likely to endanger the Customer or others. In the event a Customer is so removed or his/her participation terminated, Seed Travels or its partner tour operator shall have no responsibility towards the Customer and no refund shall be due. In the case of ill health, the Tour Operator may at its discretion make such medical arrangements as it sees fit and recover the cost thereof from the Customer. Neither Seed Travels nor the Tour Operator at the destination will be responsible for any extra expenses or inconvenience caused through noncompliance with the tour instructions.

15.  RELEASE OF LIABILITY

Seed Travels act only as an agent for Customers in connection with visa arrangements, flight arrangements, hotel accommodations, sight-seeing tours and all kinds of transportation. Seed Travels will use due diligence in so acting, but subject to that, shall be under no liability with respect to any matter whatsoever arising in connection with such visa arrangements, flight arrangements, hotel accommodations, sight-seeing tours and transportation. Arrangements so made by Seed will be subject to any special terms imposed by the hotel or site owners, tour providers or providers of transport be it air, land or sea.

In consideration of the services and arrangements provided by Seed Travels, you, for yourself and for your heirs, personal representatives or assigns, do hereby release, waive, discharge, hold harmless and agree to indemnify sales staff and the Agency, and its owners, officers, directors, agents, contractors, subcontractors and employees from any and all claims, actions, or losses for bodily injury, property damage, wrongful death, loss of services, lost

profits, consequential, exemplary, indirect or punitive damages or otherwise which may arise out of or occur during my travel in connection with the scheduled Trip and any activities conducted in conjunction therewith.

16.  FORCE MAJEURE

Seed Travels will not be liable in any way for death, bodily injury, illness, damage, delay or other loss or detriment to person or property, or financial costs both direct and indirect incurred, or for the travel agent’s failure to commence, perform or complete any duty owed to you if such death, delay, bodily injury (including emotional distress or injury), illness, damage or other loss or detriment to person or property is caused by Act of God, war or war like operations, global pandemic, mechanical breakdowns, terrorist activities or threat thereof, civil commotions, labor difficulties, interference by authorities, political disturbance, howsoever and where so ever any of the same may arise or be caused, riot, insurrection and government restraint, fire, extreme weather or any other cause whatsoever beyond the reasonable control of Seed Travels; or an event which Seed Travels or the Partnered Supplier of services, even with all due care, could not foresee any and all of which, individually and collectively, constitute “Force Majeure”.

17.  PRIVACY POLICY

 

Seed Travels must collect your personal information to deliver the Trip and any products or services booked. Seed Travels collects, uses and discloses only that information reasonably required to enable Seed Travels and its Partnered Suppliers to provide the particular Trip, products and/or services that you have requested. By submitting any personal information to Seed Travels, you indicate your acceptance of Seed Travels’ Privacy Policy found at our website www.theseedtravelz.com/privacy-policy

18.  AMENDMENTS

 

Seed Travels reserves the right to update or alter these Terms at any time, and will post the amended Terms on Seed Travels’ website theseedtravelz@gmail.com . An up to date copy of these Terms, as amended, may be accessed at any time on Seed Travels’ website and will be sent to you upon written request to Seed Travels. You are deemed to have accepted any amendments to these Terms. Seed Travels recommends that you refer to the Terms prior to travel to familiarize themselves with the most up-to-date version available.

19.  UAE TOURIST VISA RULES

Seed Travels has a high reputation of getting visas granted to their applicants. However, the entire decision to grant or refuse UAE visas is the sole decision of the Dubai Immigration. Visa fee is non-refundable once applied irrespective of the outcome. If for any reason visa is refused, the visa fee of $150 will be deducted from the deposit amount paid and the rest refunded based on the refund policy of the tour.

The normal processing time for the visa is usually 5-7 working days. Applicants are advised to submit document early enough to smoothen the process and receive visas ahead of travelling date. Visa can only be applied from Sunday to Thursday as Friday and Saturday are weekends.

The validity of the visa is usually 2 weeks to 2 months depending on the visa type and stay period varies from 96 hours to 1 month.

As a tour participant, you agree to leave Dubai before expiry of your visa. Should you overstay for any reason, you shall bear all the charges related to that overstay as stipulated by the Dubai Immigration.

In the event that tour participants exceed their stay in the UAE beyond the validity of their visa, such clients are recorded as an “Overstay / Absconder” by the UAE Authorities. Under the circumstances, the person will be liable for the following penalties:

  • USD 2,000.00 per person for violation penalties to cover fines and deportation
  • USD 55.00 per person for the first day of overstays.
  • USD 00 per person for each following overstay day. The above charges are fixed and are non-negotiable.

In view of the above, all tour applicants are highly encouraged to return before the expiry of their visas to avoid unnecessary penalties.
